Synertec is a third-party provider operating from a warehouse in Warrington, delivering a bespoke mail management solution known as Prism / Centralised Mailing. The system is designed to improve the capture, processing, and distribution of clinical correspondence. As part of Mersey Care’s wider programme to modernise and streamline communications across the Trust, Prism / Centralised Mailing is being deployed Trust-wide, with the Community Division leading the initial go-live.

In partnership with the Community Division, the rollout has been organised into four phases, as agreed with Matt Oultram, MCFT Community Operational Manager. The scheduled go-live dates are as follows:

  • Phase 1         23 Teams       Go-live 26 May 2026
  • Phase 2         42 Teams       Go-live 30 June 2026
  • Phase 3         22 Teams       Go-live 28 July 2026
  • Phase 4         18 Teams       Go-Live 25 August 2026

Synertec Go-Live Phase 1 for Community Division – 26 May 2026

The teams listed in the table below are included in the Phase 1 Community rollout. From Tuesday 26 May 2026, all patient correspondence sent via post must be printed exclusively via the Patient Administration System to the PRISMMCFTAppointment printer, which has been deployed across all Trust computers. This printer queue is to be used only by the teams detailed below.

What Synertec Go-Live means for Community Teams included in Phase 1

Community teams included in Phase 1 have been working closely with the IM Project Team to standardise patient correspondence and identify the appropriate leaflets to be issued as part of this initiative.

 

PRISM Printer

The PRISMMCFTAppointment printer has been deployed across all Trust computers; however, it must only be used by Community teams participating in Phase 1 and any services that are live already and have been instructed to use this printer. This is an off-site printer queue monitored by Synertec, who will print and distribute the letters to patients, replacing the need to use on-site Canon printers for Patient Correspondence sent via the post.

 

From Tuesday 26 May 2026, Phase 1 Community teams are required to send any Patient Correspondence sent via post directly from their Patient Administration System (EMIS Web) to the PRISMMCFTAppointment printer. As a result, there will no longer be a requirement for Phase 1 Community teams (listed above) to manually print and post patient correspondence, as this process will now be managed by Synertec.

 

Relevant leaflet codes that have been set up as part of the project will be available to use, details of leaflets and correspondence codes are outlined in the attached Community Services Leaflet Code document.

 

Prism Reports

When sending document to the PRISMMCFTAppointment printer, you will receive two reports daily. The two reports you will receive are:

  • Job Object Report
  • Processed Document Report

 

This will help give the service added assurance what is or is not being processed.  These reports will be going direct to each department to either two individuals or a central inbox for the service

Prism Client

Community Teams in Phase 1 should regularly monitor print queues using the Prism Client application, which has been deployed to all Trust desktops. This application provides services with visibility and control over letters and documents submitted for printing via Synertec. Please refer to the attached training materials for guidance on using the Synertec Prism Client.

All team members have been set up with access to Prism Client, however if there are any issues on go-live with access, please email: Julie.Mealey@imerseyside.nhs.uk and Jade.Molloy@imerseyside.nhs.uk, and include the relevant service name and Windows username.

Following go-live, any new access requests must be logged via the IM Service Desk. Requests should include the following details:

  • Division
  • Service
  • Windows username
