I am writing to inform you of steps that are required to prepare for the EPMA System harmonisation and upgrade on the 19 March 2025 and an important update regarding changes to medication round times across the Trust.

On Wednesday, 19 March, after the morning medication round has been completed, please ensure that you print the MAC and MAP reports off the web version of EPMA. These reports will be used to view PRN administration history. A quick reference guide on how to print MAC and MAP reports are attached. 

If the MAC and MAP reports are used these should be scanned and uploaded into a patient's electronic notes record. If they are not used from 12pm on the 20 March the MAC and MAP reports can be disposed of in confidential waste. 

Additionally, please be aware that the medication round times on the system are changing to 9am, 1pm, 5pm, and 9pm across the whole of the Trust. To account for these changes, the time that medication will be available to be administered will change from 60 minutes before to 90 minutes before the scheduled round times.

It is crucial that nursing staff are conscious of this change and ensure that the previous administration time of medication with specific dosing intervals is checked. This will help to ensure that doses of regular and PRN medications are not being given too close together.

A QPA will also be distributed to inform staff of this change.
