Mersey Care NHS Foundation Trust working with long term partner, Synertec, to implement a new solution Trust wide for all future patient correspondence – both paper and digital.
Once this change is in place, you will no longer need to print or post correspondence locally. This streamlined process is designed to save you time and help you focus more on your core responsibilities.
This change will ensure greater consistency and standardisation across all patient correspondence, regardless of the service they are accessing.
Starting from August 2026, all patient mail will be sent directly by Synertec, rather than being managed individually by each service.
Synertec have a custom-built mail management system, Prism, designed to improve the way that clinical correspondence can be captured, transformed and delivered.
This mail management system designed to improve efficiency, reduce costs and support sustainability. By consolidating mail production, it can:
- Streamline workflows and reduce administrative burden
- Achieve cost saving on letter production
- Will integrate with the ‘my Mersey Care’ patient portal to support digital communication and reduce paper usage
- Reduce our environmental impact by cutting down on paper usage and supporting greener communication methods
- Phase one – August 2025 to March 2026 (Community Care Division)
- Phase two – March 2026 to June 2026 (Mental Health Division)
- Phase three – June 2026 to August 2026 (Secure Care Division)
- Phase four – October 2025 to June 2026 (‘my Mersey Care’ integration)
Please gather all letters and supporting documents used by your service, including any leaflets which are currently sent to patients. Make sure each file is clearly named and well-organised.
Having these materials ready in advance for the NHS Informatics Merseyside (IM) Project Team will help streamline the process when they contact your team.
From August 2026, all patient correspondence will be sent via the centralised mail solution, rather than being printed locally by each service.
What we need from you
To begin this process, we require some information about your service’s average monthly volume of letters and documents sent to patients.
We also ask that you upload copies of your current patient letters and leaflets. These will be standardised to ensure consistency across all Mersey Care correspondence.
