Dear colleague,

I’m writing to you to sincerely apologise for the upset, distress or confusion caused by receipt of a P45 sent out in error over the weekend.

You may be aware that an Electronic Staff Record (ESR) merge took place in April to move ESR staff records for former North West Boroughs Health NHS Foundation Trust colleagues over to Mersey Care. As a result of this alignment, a P45 was incorrectly generated and issued to your home address. 

It was not anticipated that a P45 would be generated as part of this process and had we been aware, we would have made sure this was communicated to you in advance.

I can assure you that your employment record and assignment number/s remain active. All records accurately transferred safely to Mersey Care with no change to personal details such as continuous service dates. 

I am working closely with the Payroll team to understand why this error has occurred, so this does not happen again.

I know you will have lots of questions and I have provided a list of frequently asked questions and answers as below:

Q: I have received a student loan stop notification, what do I need to do?

A: You do not need to take any action.  The new employer details have been submitted to HMRC who will update the Student Loan company accordingly.

Student loan deductions will continue as normal.

Q: Is my salary sacrifice scheme affected?

A: No, all salary sacrifice schemes will continue as normal.

Q: Will my continuous service/length of service be affected?

A: No, your record held on the ESR payroll system has not been closed and your service will continue to accrue as normal.

Q: Will my pay be affected in the future?

A: No, your record held on the ESR payroll system has not been closed. You will continue to receive your contracted salary and your assignment number remains the same which means any hours submitted via roster or the E-SVL will be paid as normal.

Q: I receive state benefits (E.g., Universal Credit) which is based on my earnings, how will this impact the amount I am due?

A: There will be no impact to your state benefits as the process to inform the HMRC of your earnings has not changed. The HMRC will continue to receive the required information against your current record.

Q: Is the HMRC aware that the employer I work for has changed?

A: Yes, as part of the business acquisition/merge process we have to notify the HMRC that you have left the North West Boroughs Health Care employment and transferred to the Mersey Care.

This can only be done at the start of the new financial tax year.

The standard process has been followed to ensure we have followed the HMRC requirements.

Q: Will there be any impact to my tax code?

A:  As part of the merge we are closely monitoring tax code changes issued by the HMRC to ensure there is no discrepancies with the application of tax allowances against your records.

Q: Do I need to return my P45?

A: No, you can retain the P45 for your records. The taxable pay detailed on the form is the amount held against your record in ESR for the tax year 2021/2022.

I am sorry this error has occurred and hope the information provided assures you that the receipt of the P45 will have no impact to your employment, pay or staff record now, or in the future.
