Empactis - our new staff health management system - goes live on Tuesday 12 July. The management referral form which sits in the Health Manager part of the system, will be operational from that date. This will enable a more efficient process for supporting all types of employee health and wellbeing proactively.
The system was announced to staff late last year and since then it has been customised to support our services. This is the start of a roll out of the functionalities that Health Manager will provide – note that everything else remains the same at present.
Actions for staff managing teams
If you manage a team of staff, you must now check and verify their hierarchy currently on ESR. This is because the management referral form can only be completed by managers identified in the ESR hierarchy. You won’t be able to raise a referral for any staff not included in the hierarchy.
It is the responsibility of managers to share any outcome Occupational Health reports with their HR lead. The Empactis system does not automatically forward a copy of any OH reports to any another email address.
Accessible “how-to” guides, along with an e-learning guide for managers will be available on YourSpace. Staff can be assured that this process change will allow for a slicker approach, enabling information to go to where it needs to in the system.
How do I access Empactis?
Staff will soon see a new desktop shortcut icon on their screens. It will contain the Empactis logo. This will take you directly to the Empactis log-on page in your browser. You will need to use Edge or Chrome web browsers to access the site (not Internet Explorer). You can also access it on this hyperlink and we’d recommend bookmarking the link in your own system.
When accessing Empactis for the first time, you will need to click on the “forgotten password” link. This will prompt you to enter your email address for a “password reset” link to be sent to you. You will need to check your inbox for an email from Empactis prompting you to reset your password. Once you have done this, you can access the site via the link either on your desktop or on the website and log in using your new password.
What is Health Manager?
Empactis health manager is an online system that allows:
Proactive monitoring and management of employee physical, social and mental health
- Equip managers to react and refer quickly, appropriately, and in the right sequence
- Structured management of health surveillance, cases, referrals, risk assessments, records and interventions
- Management of third party occupational and other health provider interactions, referrals and employee appointments
Removal of Cohort
The launch of the Management Referral form on Health Manager is the first of many functionalities Health Manager will provide. The Cohort system, currently used by the Occupational Health Team, will be decommissioned on 31 July and become read-only after that time. All efforts are and will be made to minimise any disruption to during this transition period and your patience will therefore be greatly appreciated over the coming weeks.
Once the Management Referral form in Health Manager is running, the Occupational Health and Wellbeing team will not be able to receive any management referrals through any other means apart from via the Health Manager platform. Any such referrals received outside Health Manager platform will be returned to the referrer who will be advised to make the referral using the Health Manager Portal.
