Publish date: 4 October 2023

On 2 October, the Finance and Procurement team launched a centralised incident management service called Purchase to Pay (P2P) Enquiries. The service will allow the Finance and Procurement team to manage incidents efficiently and effectively, assign tasks to team members, and track progress in real-time. The service will also provide automated workflows and notifications, reducing the time and effort required for manual incident management.

What’s different?

Enquiries will no longer be processed via email.

Staff are advised to use the P2P Enquiries self-service platform for their Finance and Procurement enquiries. Or simply call the new Finance and Procurement phone line: 01925 972 767.

Why change?

The Finance and Procurement team's previous process for managing inbound emails was not fit for purpose. Emails were received by individual team members and manually assigned to the relevant person for action which presented several potential risks.

The new P2P Enquiries service is expected to bring significant benefits to the Trust:

  1. Improved incident management: The centralised incident management system will enable the Finance and Procurement team to manage incidents effectively, resulting in faster response times, reduced delays, and improved customer satisfaction.
  2. Increased productivity: The automated workflows and notifications will reduce the time and effort required for manual incident management, allowing the Finance and Procurement team to focus on more strategic activities.
  3. Cost savings: The service will reduce the need for manual incident management, resulting in cost savings for the Trust.
  4. Enhanced visibility and accountability: A centralised system will provide better visibility into incident management, allowing team members to track progress and identify areas for improvement. This will also improve accountability for incident management.
  5. Improved data analytics: The service will provide valuable data analytics that can be used to identify trends and patterns in incident management. This information can be used to make informed decisions and improve processes.
  6. Compliance and security: The service is compliant with industry standards and regulations, ensuring that sensitive information is secure and protected.
