Following a review of the payroll contract, and to ensure a consistent approach across the Trust, weekly pay will be implemented for all bank workers. This will come in to effect from 1 April 2022 and will be in place for all bank workers, and any substantive colleagues who work bank shifts. Unfortunately, there is no option to choose between monthly or weekly.
Key changes
Whilst this is seen as really beneficial for colleagues, for it to be successful, we have to implement changes to timescales and processes as identified below:
- Pay is one week in arrears
- Bank workers and managers will need to ensure all hours worked Monday to Sunday are on the system and finalised, on Mondays by 9am at the very latest (except throughout March when the deadline is midday)
- Any hours worked but not submitted/finalised on time will be processed the following week (we are unable to process advances for bank hours)
- From 1 April 2022, weekly hours submitted are always Monday to Sunday even if the days go into the following month, for example, week commencing 30 May 2022 will include hours worked up to and including Sunday, 5 June 2022
- Timesheets (paper or electronic) will not be accepted from 1 April 2022. All hours must be entered on the system, added at service level. Support is available for bank workers and managers from the temporary staffing/roster team if required.
Transition period
As part of the transition and to be prepared for the changeover to weekly pay we need to change submission dates throughout March. The main requirement for the month of March only, is to ensure that all timesheets are submitted every week and received by the team by midday on a Monday. If hours are entered on the system they need to be finalised weekly, again by midday on Mondays.
The timetable below highlights key dates for March 2022:
Hours worked |
Hours submitted to temporary staffing/finalised on system |
Hours will be paid |
---|---|---|
Tuesday, 1 March – Sunday, 6 March |
Monday, 7 March at midday |
To be paid by 29 March |
Monday, 7 March – Sunday, 13 March |
Monday, 14 March at midday |
To be paid by 29 March |
Monday, 14 March – Sunday, 20 March |
Monday, 21 March at midday |
To be paid by 29 March |
Monday, 21 March – Sunday, 27 March |
Monday, 28 March at midday |
29 April 2022 (week 4 of weekly pay) |
Monday, 28 March – Thursday, 31 March |
Monday, 4 April at midday |
29 April 2022 (week 4 of weekly pay) |
As you will see from the above, the first three weeks of hours worked in March up to 20 March will be paid in March (around 29 March), a month earlier than usual. Hours worked from 21 March through to the end of March will be paid on 29 April 2022. The reason for this is due to the change in payroll processes and the need to move current bank workers who are on monthly pay to receive weekly pay.
Please adhere to these timescales as we’re unable to process advance payments. Also, we are unable to process more than one weeks’ hours as there will be no monthly pay run file for bank workers.
We will let you know the timetable for the rest of the year as soon as possible to allow hours to be submitted in time to ensure payment on the Friday of each week (with a 9am cut off for submissions). We will produce a set of frequently asked questions (FAQs) that will be accessible here. If you have any questions, please review these as they’ll be updated as the new process starts and questions arise.
